Why a Ukrainian Translation Agency May Be More Cost-Effective Than Freelancers

“We work with freelancers only.” This is something we often hear when offering Ukrainian translation and localization services as a subcontractor. If the reason is purely financial, we understand that. But in many cases, it is more of a corporate philosophy than a real financial calculation. The assumption is simple: freelancers are always cheaper than translation agencies.
But in reality, this is not always true.
Are freelance translators really cheaper?
In the language industry, pricing does not always directly correlate with quality or actual operational costs. Very often, it is influenced by reputation, sales, and personal branding.
An experienced Ukrainian freelance translator with a strong reputation and a stable client base may charge as much as, or even more than, a well-optimized Ukrainian translation company. We know this from our own experience. When we tried to subcontract some well-known “star” freelancers for Ukrainian translation projects, we discovered that some of them charged higher rates than we do.
The reason is simple. They spent years building their personal brand and customer base. Since many of them do not want to scale by subcontracting work to other linguists, the easiest way to increase income is simply to increase their rates.
There is another important factor as well. Many Ukrainian linguists have relocated abroad during the war. Living costs in Europe or North America are often significantly higher than in Ukraine, so many freelancers have no choice but to raise their prices to cover everyday expenses. We continue operating from Ukraine, which gives us access to local resources and lower operational costs.
Translation projects involve more than translation
When companies compare freelancers and translation agencies, they often compare only the translation rate itself. But large or complex projects involve much more than translation alone.
If your project requires multiple translators, someone still needs to recruit them, test them, coordinate deadlines, manage terminology consistency, monitor quality, and handle communication. Your accounting department also needs to process multiple invoices and payments. All of this takes time from your internal team, and those working hours are not free.
When you outsource a project to a reliable Ukrainian translation agency, you are not purchasing only translation services. You are also outsourcing project coordination, vendor management, workflow organization, and part of the financial administration.
Once these hidden operational costs are included in the calculation, working with a Ukrainian LSP may actually become the more financially effective option.
Local presence creates additional value
Another important factor is access to local resources. A Ukrainian language services company operating inside Ukraine has opportunities that international companies often do not have. For example, local agencies may cooperate with Ukrainian universities, maintain professional communities and Telegram channels, understand where to search for candidates quickly, and know how to screen and onboard translators efficiently.
Without a local presence, accessing these resources becomes significantly more difficult. This local expertise is another competency you may be purchasing when working with a Ukrainian LSP.
Freelancers and LSPs can complement each other
Frelancers can absolutely be an excellent solution for many projects. However, excluding Ukrainian translation agencies completely may not always be the most efficient decision.
Depending on the project size, deadlines, complexity, and management overhead, working with a reliable Ukrainian localization company may save both time and money.
That is why we recommend considering Ukrainian LSPs as subcontractors even if your company traditionally prefers freelancers. In many situations, they may simply provide better overall value.
